Our client, a property and fund management company located just outside of Chattanooga, TN, is seeking a Personal Assistant to the company's Chairman. The ideal candidate will be a strategic thinker with excellent organizational, communication, and problem-solving skills. This individual will serve as the key point of contact for the Chairman, providing administrative and logistical support to ensure smooth operations and achievement of goals. Job duties include:
o Providing high-level support to Chairman and family members, including calendar management, meeting coordination, and travel arrangements. Ensure that all materials, reports, and travel itineraries are prepared and presented in a timely manner.
o Act as the first point of contact between the Chairman and internal/external stakeholders. Screen calls, manage emails, and facilitate communication across various teams.
o Organize and prioritize meetings and appointments. Prepare agendas, travel itineraries and follow up on action items.
o Coordinate personal travel arrangements for the Chairman and their family, including flights, hotels, transportation, and itineraries.
o Handle sensitive information with the utmost discretion and professionalism, maintaining confidentiality at all times.
o Manage and organize the Chairman's personal calendar, including doctor's appointments, family engagements, and other personal commitments. Handle personal errands such as coordinating deliveries, assisting with managing household services, and ensuring timely execution of personal requests.
o Assist in sourcing and purchasing gifts, arranging for deliveries, and managing personal shopping needs for both professional and personal purposes.
o Coordinate with personal service providers to ensure that the Chairman's home and personal affairs are well-managed.
Qualified candidate will have the following:
o Bachelor's degree in business administration, management, or a related field.
o Prior experience as an executive or personal assistant, ideally in a corporate or professional services environment.
o Proven experience supporting senior-level executives, with a strong understanding of executive operations and decision-making processes
o Excellent organizational, multitasking, and time management skills.
o Proficiency in MS Office Suite and mobile devices.
o Ability to work independently and take initiative, with a solutions-oriented mindset
o Discretion and the ability to manage confidential and sensitive information.
