Job Summary: Step into a pivotal role where you’re the heart of our HVAC service operations. As a Commercial HVAC Service Coordinator, you’ll oversee the scheduling, coordination, and dispatching of skilled technicians to commercial job sites. Key Responsibilities:
Service Scheduling & Dispatching: Take charge of coordinating and scheduling HVAC service calls, maintenance, and repairs based on technician availability, customer needs, and urgency. Ensure technicians are dispatched promptly to job sites, keeping operations running efficiently.
Customer Communication: Serve as the primary point of contact for clients, confirming appointments, providing timely updates, and addressing any concerns or special requirements. Ensure every client feels heard and valued throughout the process.
Job Tracking & Documentation: Maintain accurate and up-to-date records of service requests, technician assignments, and job completion details. Ensure logs reflect materials used, time spent, and service outcomes for seamless reporting and accountability.
Technician Coordination: Stay in close communication with HVAC technicians, ensuring they have the information and resources they need to complete each job efficiently. Adjust schedules as necessary to maximize workflow and meet client expectations.
Problem Solving & Issue Resolution: Be the go-to person for resolving scheduling conflicts or service issues, handling emergency dispatches and urgent requests with grace and efficiency to ensure client satisfaction.
Data Entry & Reporting: Input job details, client information, and technician schedules into management software. Generate reports on service completion, technician performance, and any delays, helping the team stay on track and informed.
Qualifications:
Education & Experience: High school diploma required. Some college coursework in business or a related field is preferred. Previous experience in dispatching, customer service, or within the HVAC industry is a plus.
Skills & Abilities:
Strong organizational skills with the ability to manage multiple tasks at once.
Excellent verbal and written communication skills, with a natural ability to connect with clients and team members.
A problem-solver who thrives in a fast-paced environment, keeping calm under pressure.
Familiarity with HVAC systems is helpful, but not essential.
Proficiency in scheduling software and Microsoft Office Suite (Excel, Word, Teams).
Quick typing skills (minimum 50 words per minute) and attention to detail.
Excellent time management abilities.
Physical Requirements: Ability to work in a fast-paced office setting. You’ll spend time sitting, working with a computer and phone, handling multiple tasks simultaneously.
Working Conditions:
Full-time position with regular business hours. Flexibility to respond to after-hours emergencies or urgent client needs is expected.
Primarily office-based work environment.
