Position Overview The Loan Officer Assistant plays a critical role in ensuring loan files are accurate, compliant, and efficiently moved through the pipeline, while serving as a polished and professional point of contact for clients and partners. Key Responsibilities Loan Pipeline & File Management
Track loan milestones and proactively manage key deadlines
Maintain accurate borrower and partner records within CRM systems
Prepare, send, and manage loan applications, disclosures, and documentation for e-signature
Request and collect conditions from borrowers, title companies, and third parties
Prepare complete files for submission to processing and underwriting
Maintain organized electronic and physical loan files in compliance with internal policies
Client & Partner Communication
Serve as the first point of contact for inbound calls with professionalism and warmth
Provide timely and accurate updates to clients, partners, and internal teams
Coordinate appointments, meetings, and follow-ups in partnership with the Loan Officer
Consistently represent the brand with a welcoming, service-oriented demeanor
Administrative & Office Support
Provide general administrative support including scanning, filing, and document organization
Assist with mailings, internal coordination, and referral partner support
Support daily workflow management, scheduling, and follow-up activities
Maintain office organization and readiness for client meetings
Qualifications
High school diploma or equivalent required;some college coursework preferred
1–2 years of experience in mortgage lending, banking, or customer service
Familiarity with loan origination systems preferred
Proficient in Microsoft Word, Excel, Outlook, and PDF editing tools
Exceptional phone presence —polished, confident, and personable
Strong written and verbal communication skills
Highly organized, detail-oriented, and dependable
Ability to multitask and perform well in a deadline-driven environment
Positive attitude, strong work ethic, and collaborative mindset
